Setting up the Nominal Ledger

From the Ledgers menu select Nominal to display the nominal listing screen. 

All entries, apart from Bank Transfers, must have a Nominal code.  

Nominal codes will all be allocated to Nominal Groups.  

 

Nominal Groups 


To display the list of Nominal Groups, click on the   button: 


There are standard Fixed Groups e.g. Sales, Purchases, Overheads etc. which cannot be changed because they define how the codes appear in a set of accounts and in management reports. 


Nominals may show directly in a Fixed Group or sub-groups can be created for more detailed reporting.




Setting up a nominal sub-group 

To set up a sub-group click on Add.  

Enter a name and select the Nominal Group Type it will appear in. 

Enter the default VAT code – this may be changed during data entry.



For example, once a sub-group for Livestock income has been set up, nominal codes for Lamb sales, Beef sales etc. can be created which are linked to the sub-group. These will appear in the Sales section of the reports but under a sub-heading. 

 

Setting up Nominal Codes 


To create new Nominal codes, go to the Nominals listing screen and click on Add: 


Fields with a * are required to be filled in before you can save. 

Code – A unique 5 digit alphanumeric code.  

Active -If a nominal is not Active you will not be able to use it. 

Name – A unique short description up to 50 characters long. 

Description – Up to 100 characters.

 

Nominal Group – Use the search icon to select one of the pre-defined fixed groups or a user defined sub-group. You can create a new group from the search screen.


Default VAT – This is the VAT code normally associated with the nominal. It will act as a default but can be changed.

 

Default VAT Input/Output – This will default to what is usually associated with the group but may be changed. If the default for the Group is Outside the scope (O) VAT there will be no default in this field.

Unit - Use the search icon to select one of the pre-defined Units or create a new one if required.



Once saved, the nominal will appear in the listing screen. 

To edit a nominal, click on the blue Name field. 


To hide a used nominal code from the list, edit it and make it Inactive using the blue slide button. 

You can display inactive nominals on the screen by clicking on the plus sign in the Status field at the top and ticking Inactive.  


Any inactive nominals will have a red dot next to them rather than green for the active ones.


To select a nominal to use in reports, click anywhere on the line so it is highlighted. This is also how you select an unused nominal should you wish to remove it. 


The Ctrl/Shift keys can be used to select multiple nominals.
