Bank Accounts

Before you start your data entry you should ensure that you have set up all required bank accounts needed for your payments and receipts.

When your company is first set up you will have a single bank account which you can edit and update as required.

Add a new bank account

If you require additional bank accounts you will need to:

  • From the main menu, click on Bank Accounts
  • Click Add

  • Code: Enter a unique code which can be up to 2 digits and alpha or numerical.
  • Account Type: Select an Account type from the dropdown menu.
  • Bank Account: General bank accounts
  • Credit Card: Credit card accounts
  • Cash: Petty cash
  • Other: Use this if you want a separate categorisation for some of your banks, for example a long term fixed interest savings account or mortgage account.
  • Account Name: Enter the name of the account.
  • Default: If set, this bank account will be used as the default on entry screens. Only one bank can be set to default.
  • Active: If a bank account is inactive you will not be able to use it.
  • Additional fields may be available dependent on the Account Type selected.
Note: Fields with a * are required to be filled in before you can save.

Edit a Bank Account

To edit a bank account click on the Account name which will display as a hyperlink. You can edit any of the details apart from the code.

Remove a Bank Account

A bank account can only be removed if it has not been used on any records. To remove a bank account:

  • From the main menu, click on Bank Accounts
  • Select a single or multiple bank accounts from the listing screen
  • Click the Morebutton
  • Click Remove

Hide a Bank Account

If a bank account is no longer required, and cannot be removed because it has been used, you can archive it by making it inactive.

  • From the main menu, click on Bank Accounts
  • Click on the blue Name field or double click on the grid row
  • Click on the Active toggle to switch it off
  • Click Save

A Bank which has been made inactive can be viewed on the listing screen. To view inactive banks:

  • Select the dropdown arrow on Status at the top of the screen
  • Tick Inactive to show Inactive banks as well as Active.
Note: Any inactive banks will have a red dot next to them rather than green for the active ones.

There are also options to filter on all the bank details such as Name, Type, Sort code etc. See the Filters section for more details.
